Cancellation & Refund Policy

This is a full draft prepared for legal review — not TCT's approved policy. The suggested refund schedule below is a starting point for Katie's decision, not a promise currently being honored. Questions about a specific booking? Email us directly.

1. Booking Deposit

The $250 booking deposit is non-refundable under any circumstances, including customer-initiated cancellation. This is already stated at the time of booking.

2. Customer-Initiated Cancellation

Draft note — needs a real decision: No tiered refund schedule has been decided yet. A common structure for a trip of this length/price, offered here only as a starting point for Katie's actual decision — not TCT policy:

  • 60+ days before departure: remaining balance refunded (deposit stays non-refundable).
  • 30–59 days before departure: 50% of the remaining balance refunded.
  • Fewer than 30 days before departure: remaining balance non-refundable.

These specific windows and percentages are illustrative only and need Katie's confirmation (or a different structure entirely) before this becomes real policy.

3. Balance Payment and Missed Deadlines

The remaining balance is due 45 days before departure.

Draft note — needs a real decision: What happens if it's not paid by then — automatic cancellation, a grace period, loss of the spot to a waitlisted hiker — is undecided. See Terms & Conditions Section 3.

4. Weather and Trail Conditions

Conditions on a multi-day backpacking trip can change quickly. If TCT needs to adjust an itinerary for safety, we'll do so and communicate the change — this is not considered a trip cancellation.

Draft note — needs a real decision: If TCT ever needs to cancel a departure entirely for weather/trail-condition safety reasons (as opposed to adjusting the route), the refund/credit treatment for that scenario specifically is undecided — see Section 5.

5. TCT-Initiated Cancellation

TCT has, in practice, cancelled a planned departure due to low enrollment.

Draft note — needs a real decision: What a booked hiker receives when TCT cancels a departure — full refund, credit toward a future trek, or a choice between the two — is undecided and needs Katie's real answer. A reasonable default worth considering: a full refund of everything paid (including the deposit, since in this scenario TCT is the one cancelling, not the customer) — but this is a suggestion, not policy, until confirmed.

6. Minimum Enrollment

Draft note — needs a real decision: No minimum group size or decision-by date is documented. If TCT wants the option to cancel a departure below a certain enrollment threshold, that threshold and the deadline for making that call (e.g. "60 days before departure") need to be decided and stated here — both for TCT's own planning and so customers know when to expect certainty.

7. Participant Removal

Draft note — needs a real decision: TCT's right to remove a participant mid-trip or before departure for safety or conduct reasons, and what (if anything) is refunded in that case, is undecided. A common approach is no refund for a safety/conduct-based removal, since TCT has already committed guide time and logistics — but this needs an actual decision, not an assumption.

8. Independent Travel Costs

TCT is not responsible for a participant's independent travel costs (flights, gear purchased for the trip, time off work) if a trip is cancelled, modified, or if a participant cancels their own booking. We recommend not booking non-refundable travel until your trip is confirmed.

9. How to Cancel

To cancel a booking, email hello@triplecrowntreks.com with your booking number. Any applicable refund (per Section 2 above, once decided) will be processed back to your original payment method through Stripe.
